Data is the new oil and therefore, governing or managing your data (and the records that contain it) has become a very important issue to address and take the necessary action on, depending on where you are with your record management and data governance. How we manage our records and data has been a hot topic lately and discussed by many in the industry. Codes, such as the King IV Code) stress the need for organisations to consistently monitor how they manage their data, due to the extensive nature of technology and the risks involved. The crucial question to ask is, does your organisation manage its data effectively? Data governance (or information governance, or records and information management as it is sometimes called) is crucial and is really the umbrella concept under which data protection falls. In other words, protecting data is only one aspect of governing your data. Other aspects include data access, interception, availability etc. The diagram below is an illustration of a good document life cycle.
Outcomes
- Make sure that you have good information management policies in place by knowing what to do;
- Know why keeping documentation and records is so important by looking at what the law requires;
- Classify your data by understanding the classes within which your data could fall; and
- Retain the records your organisation requires by knowing what to retain and for how long.
