No organisation is an island. Data sharing is inevitable, whether on an ongoing basis or occasionally. However, it comes with inherent risks that your organisation must understand and mitigate, especially if it constantly shares data.

As data providers and receivers, it is crucial to understand the different roles and responsibilities in data sharing. Data providers supply data, while data receivers get it from data providers. Examples of data providers and receivers sharing data include marketing and credit monitoring activities. While data sharing is essential, it exposes organisations to risks and pitfalls such as interception, hacks, leaks, and insecure data transfers.

In this module, we discuss how organisations can minimise risks associated with data sharing by identifying leading suppliers, managing relationships with data providers, and adopting secure data transfer methods like encrypted email or dedicated web portals. We also explain why conducting a data protection responsibility assessment and understanding the impact of data protection laws on data sources is essential. We provide a roadmap for how the data protection officer and IT department can collaborate to ensure safe and lawful data-sharing practices.

Outcomes

  • Understand personal data sharing by discussing examples involving data providers and receivers.
  • Recognise the risks, and common pitfalls organisations face when sharing data.
  • Implement safeguards and steps to mitigate these risks and eliminate pitfalls, ensuring compliance with data protection laws and maintaining secure data transfers.
